    Alcohol Purchases


    This webpage outlines the guidelines and procedures for purchasing alcohol for University-related events and activities. The responsible and lawful procurement of alcohol is essential to maintain the integrity of our processes and ensure compliance with applicable regulations.

    Reimbursement for Alcohol

    • Alcohol can be reimbursed to individuals only in specific cases when funding allows.
    • Alcohol for any event, whether on campus or off, may require approval more than 25 days in advance.
    • Whenever considering purchasing alcohol, assume it will NOT be reimbursed unless you have checked with the APEP Purchasing Manager at least 25 days before the purchase or as soon as practicable.

    When it comes to obtaining an alcohol permit, here are the key points to keep in mind —

    1. On-Campus Events with Alcohol:
      • If you're hosting a meeting on the University campus and alcohol will be served, a UCI Alcohol Request Form is required.
    2. Off-Campus Events with Alcohol and 10 or More Attendees:
      • For off-campus events where alcohol will be served and the guest count is 10 or more, a UCI Alcohol Request Form is required.
    3. Alcohol Sales at Events (On-Campus or Off-Campus):
      • Should your event involve the sale of alcohol to attendees, irrespective of its location, and the event's attendance fee includes the cost of alcohol, you must apply for an ABC license in addition to completing the UCI Alcohol Request Form.
    4. Events Not Sponsored by UCI:
      • An alcohol request form need NOT be submitted if the event is not officially endorsed by the University under the UCI name/trademark and won't involve the use of UCI funds for alcohol procurement or reimbursement.

    The steps for completing a Alcohol Permit are as follows:

    1. Event Host fills out and signs the Alcohol Request Form
    2. Event Host has venue/location host sign the alcohol permit
    3. Event Host then forwards the completed and signed form to Dean's Office for approval
    4. Event Host emails completed, signed and approved form to UCI Dining at food@uci.edu for approval
    5. UCI Dining approves and emails form back to Event Host
    6. Event host will include the completed alcohol permit with their reimbursement request
